Most small business owners know something isn't working quite right. The software feels clunky. Certain tasks take longer than they should. Information is scattered across too many places. But it's hard to know where the real problems are — or how serious they are — until you stop and look.

This self-assessment is designed to help you do exactly that.

In about 10 minutes, you'll rate your business across six key areas of operational efficiency. By the end, you'll have a clear picture of where your business is running well and where it's quietly costing you time and money.

How to use it

Rate each statement using the following scale. Be honest. There are no wrong answers — only useful ones.

Section 1: Daily Workflows & Recurring Tasks

How smoothly does your day-to-day actually run?

1. My team and I spend most of our time on client-facing and revenue-generating work, not administrative tasks.

2. Recurring tasks (invoicing, follow-ups, scheduling, reporting) have clear, consistent processes that don't require re-inventing the wheel each time.

3. I rarely have to manually chase down information, documents, or approvals to complete routine work.

4. My team knows exactly what needs to happen each day and week without constant reminders or clarification from me.

5. When I'm out of the office, the business runs smoothly without my direct involvement.

Section 2: Software & Tools

Are your tools working for you, or against you?

1. I have a clear sense of every software subscription my business pays for and what each one does.

2. My tools work well together — I rarely have to manually move information from one system to another.

3. I'm not paying for software I no longer use or that duplicates functionality I already have elsewhere.

4. The tools we use today are the right fit for our current size and needs — not ones we outgrew or inherited without much thought.

Section 3: Automation & Manual Work

How much of your time goes to things a computer could do?

1. Tasks that happen repeatedly in my business (data entry, notifications, reminders, report generation) are automated where possible.

2. I rarely copy information by hand from one place to another (e.g., from email into a spreadsheet, or from a form into a CRM).

3. Client onboarding, follow-up sequences, and routine communications happen consistently without manual effort each time.

4. I've evaluated which parts of my workflow could be automated and have taken steps to do so.

5. When I identify a repetitive manual task, I have a path to automate or eliminate it.

Section 4: Information & Organization

Can you find what you need, when you need it?

1. Client information, documents, and communications are stored in one place and easy to find.

2. My team and I don't waste time searching for files, emails, or records that should be easy to locate.

3. There is a clear, consistent naming and organization system for files and documents that everyone follows.

4. Important business information (contracts, client data, financial records) is backed up and secure.

5. When a new team member joins, we have clear documentation of how things are organized and why.

Section 5: Communication & Coordination

How much friction is in the way your team communicates and collaborates?

1. Internal communication is clear and organized — I know where to look for updates, decisions, and status without digging through email chains.

2. Clients receive timely, consistent communication without me personally managing every touchpoint.

3. Meetings and check-ins are productive and have clear outcomes — they don't feel like a tax on everyone's time.
