Everything About a Client, in One Place

The agreement is in a folder, the latest decision is in an email, and the next step is in your head. I give each client one record that brings those pieces together.

Start with one client whose records are scattered

Before a call, you search through messages and folders to remember what was agreed. I organize the information around the client, with links to the original records so you can check the details.

Bring one active client whose information is scattered across email and folders.

What I set up

  • One client-record template in your existing customer or document system
  • Contact details, current work, decisions, and next steps in a consistent place
  • Links to correspondence, agreements, proposals, and billing records
  • An initial batch of clients agreed before work starts, plus a clear way to add the next one

How I check it works

You can open a client record and find the latest agreement, decision, and next action. You or someone on your team can add another client using the same structure.

Where this setup ends

Moving an entire CRM, reconciling payment records, and cleaning up a historical archive are separate work. Billing links point to the source record; this setup doesn't independently verify whether an invoice is paid.

One setup, a price agreed before work starts

Small fixes are $350; full fixes are $750. In the free chat, I check the software you use, agree the rules and initial records, and tell you which size fits. If it won't fit either size, I quote it as a project.

I use your existing tools where they support the setup. Any required software or usage fees are identified separately before you agree.

I test the setup with you and leave a short guide to using it. If the agreed fix isn't working when I'm done, you get a full refund.

In My Own Business

One starting point for each of my clients

For my own client work, I created an account record that links the proposal, agreement, correspondence, billing records, and project notes. It also holds a short current-status summary, decisions, and open items.

The source documents stay where they belong. The account record gives me a place to start before a call and a way to trace an agreement back to the original record. It also identifies gaps, such as a conversation that hasn't been written up.
